Terms and Conditions

The terms and conditions provided below serve as a comprehensive guide to our Tennis

Academy Programs. They outline the programs purpose, schedule, payment structure,
policies for absences, court usage, and the procedure for requesting changes in frequency.

Familiarizing yourself with these terms ensures a clear understanding of our program’s
expectations and facilitates a smooth experience for all participants.

By participating in our tennis programs, you agree to comply with these Terms.

Article-1 Purpose

  • YC&AC Tennis Academy (hereinafter called “TA”) is established for developing junior tennis players of all ages and for all levels (competitive and non-competitive) who want to be successful regionally, nationally or internationally.

Article-2 Program description

  • (a) The TA consists of TWO programs: The “JUNIOR PROGRAM” (Junior C, Junior B, Junior A, Junior T) and the “TOURNAMENT PROGRAM”.
  • (b) The JUNIOR PROGRAM is made to create a long-term love for the game and encourage the competitiveness and enjoyment.
  • (c) The TOURNAMENT PROGRAM is for players with aspirations to compete at the Kanto, International level and becoming Tennis professionals, University team players or International College players.

Article-3 Practice

  • (a) The TA offers weekday practice programs from Monday to Friday. If there are any changes, all TA members (hereinafter called “TAMs”) will be notified a month in advance.
  • (b) Outdoor and Indoor practice: In the event the weather does not permit outdoor usage (rain, snow, etc.) of the tennis courts, lessons will be moved indoors for the tennis conditioning exercises. These practices are a very important part of the regular practice program as well as for the player’s growth and development.

Article-4 Program schedule

  • (a) The TA programs will be held in accordance with a predetermined calendar year which includes the standard training schedule Monday to Friday, 48 weeks per year.
  • (b) The TA Programs will include four (4) weeks of breaks throughout the year of which players will be notified in a month in advance: two-week Christmas and New Year’s break, one-week Spring (Golden Week) break, one-week Autumn (September) break.

Article-5 Tennis Academy Members - TAMs

  • (a) TAMs are expected to follow certain procedures and rules of behavior enabling our programs to operate in the most effective way.
  • (b) If TAMs show any signs of disrespect towards the coaches, fellow players, or training facilities, they will be dismissed from training. If this type of unacceptable behavior is
    repeated, measures, which will be determined based on the seriousness of the misdemeanor, will be taken in-order to keep the program running in an orderly and respectful manner. Any behavior that could tarnish the image of the TA will be strictly prohibited.
  • (c) Usage of mobile phones: During practice sessions, TAMs are allowed to use their mobile phones when they need to send notifications to their parents with the coach’s consent. In case of any violation of this rule, TAMs will be asked to turn off the mobile phone and leave it off until the end of the practice in-order to facilitate high concentration levels
    during practice sessions.

Article-6 Tennis court usage by TAMs

  • (a) TAMs who are not YC&AC Members have limited usage of the tennis courts. TAMs can only use the tennis courts during his/her training lessons.
  • (b) TAMs practicing with friends or a family member at the tennis courts is strictly prohibited.
  • (c) Usage of the space behind the courts to practice hitting against the walls of facilities apart from the tennis courts is strictly prohibited.

Article-7 Parents of TAMs

  • (a) Parents are more than welcome to be present and observe the training lessons from outside the tennis court area.
  • (b) Parents may sit in the tennis court area only upon the consent of the Tennis Coach.

Article-8 Compensation

  • (a) If TAMs cause damage to the Club, the TA or other TAMs during the program practices on account of reasons that are attributable to and the fault of the TAMs, the TAMs shall be responsible for promptly providing compensation to cover the costs of any damages. The value of such compensation is determined by the YC&AC Management.

Article-9 Safety Measures

  • (a) In case of thunder or sign of thunder, practice will be suspended until safety can be ensured for the TAMs.

Article-10 Statements

  • (a) End of the month statements shall be sent by the 10th of the following month detailing all Training fees covering the period from the 1st to the last day of the month. Outstanding amounts shall be payable before the 20th.
  • (b) TAMs shall be informed of any changes in training fees in writing, set at least 30 days prior to the changes taking effect.

Article-11 Payments

  • (a) YC&AC Members will be requested to a pay one (1) month training fee in advance as an initial payment.
  • (b) Non-members will be requested to pay two (2) months training fees in advance as an initial payment.
  • (c) By registering and reading the corresponding terms and conditions, TAMs will sign an agreement to pay by way of automatic bank withdrawal. This application will be dispatched to your registered residing address. We request TAMs to submit the automatic bank withdrawal application in person at the YC&AC Concierge at your earliest convenience.
  • (d) Automatic bank withdrawal will be processed on 23rd of the month.

Article-12 Overdue/Delinquent Account

  • (a) Monthly statements shall detail any overdue amounts.
  • (b) TAMs are expected to pay the full monthly training fees unless they notify the TA at tennisacademy@ycac.jp and the YC&AC Administration at concierge@ycac.jp about any necessary changes by submission of;
  • (1) YC&AC Tennis Academy Resignation Form or
  • (2) YC&AC Tennis Academy Absent Application
  • (c) TAMs whose accounts are overdue by more than 30 days shall incur a penalty of 1,000 yen plus 2% (two percent) of the overdue amount. Such penalty on the overdue amount shall be levied every subsequent month until all overdue amounts are cleared.
  • (d) TAMs whose accounts are overdue by 120 days will have their Tennis Academy registration suspended with a written suspension notice from the TA. Registration may be reinstated at the sole discretion of the YC&AC Management and only after all overdue amounts are settled in full.

Article-13 Absence

  • (a) If TAMs intend to be absent, the TA should be notified at tennisacademy@ycac.jp and a “YC&AC Tennis Academy Absent Application” is to be submitted to the YC&AC Administration at concierge@ycac.jp ONE MONTH PRIOR TO THE DATE OF COMMENCEMENT OF ABSENCE following receipt by the YC&AC Administration of payment of a 550 yen absent fee per month.
  • (b) If TAMs intend to be absent, the TA will be asked to arrange make-up classes for the classes the TAMs missed. Make-up classes can be arranged after the TAMs resume the program upon prior arrangement with the TA.
  • (c) The term of absence may be extended by a period of a month, upon request from the TAMs. The maximum term of consecutive absence shall be four (4) months from the date of absence start following receipt by the YC&AC Administration of payment of additional 550 yen absent fee per month.

Article-14 Program Change or Frequency Change Request

  • (a) To request a change in the frequency of a TAMs current tennis program, you must inform the TA at tennisacademy@ycac.jp and the YC&AC Administration at concierge@ycac.jp ONE MONTH PRIOR TO THE MONTH THE CHANGE WILL EFFECT. Program and frequency of attendance changes will NOT be approved in the middle of the month.
  • (b) Effective date of program change or frequency: Upon receipt of the request, the program change or frequency change will take effect from the 1st of the following month.
  • (c) Billing for the new program or frequency will be adjusted accordingly, and any changes in fees will be reflected in the billing cycle following the effective date of the program change or frequency.
  • (d) Communication of Changes: It is the responsibility of the TAMs to ensure that the TA and the YC&AC Administration receives your program or frequency change request by the specified deadline.

Article-15 Resignation

  • (a) If TAMs wish to resign from the TA, TAMs shall notify the TA at tennisacademy@ycac.jp and a “YC&AC Tennis Academy Resignation Form”, is to be submitted to the YC&AC Administration at concierge@ycac.jp ONE MONTH PRIOR TO THE RESIGNATION MONTH.
  • (b) The monthly training fees are non-refundable, it is important to note that the term is one month, and resigning in the middle of the month is not permissible.

Article-16 Changes in Program dues

  • (a) The TA may make changes including the dues, fees, service hours, etc. when necessary for the purpose of adjusting business operations in regards to economic changes or government policies. In such cases, the TA Director shall notify all the TAMs at least one month before any changes taking effect.

Article-17 Amendments to Terms

  • The YC&AC Tennis Academy reserves the right to amend these Terms at any time. Any changes will be communicated to all TAMs through the contact information provided.

12-15 Saturdays per year are official matches in the Kanagawa Prefecture Over-40 league. On all other Saturdays we organize friendly matches with local Masters teams, whether full 11-aside or half pitch 8-aside. About once a month we organize a YCAC-only intra-squad session. As mentioned above, we also participate in 8-aside tournaments on public holidays about once every two months.
